Instructions
Stakeholder Mapping
Before creating any communication, identify:
- Who: Which stakeholder group(s)?
- Investors / Shareholders
- Board of Directors / Supervisory Board
- Partners / Suppliers
- Customers
- Employees (hand off to Internal Comms Lead)
- Community / Government (hand off to Government Affairs)
- What they need: Information, reassurance, action, feedback?
- Frequency: One-time, monthly, quarterly, annual?
- Format: Email, report, presentation, letter?

1. Board Report / Investor Update
Structure (Quarterly):
- Executive Summary (200 words max)

2. Annual Impact Report
Structure (B Corp PSG6 aligned):
- Letter from Leadership: Purpose, vision, honest reflection
- Impact Highlights: 5-7 key achievements with data
- Governance: Board composition, stakeholder governance practices
- Environmental Impact: Carbon, waste, energy, supply chain
- Social Impact: Workers, community, customers, DEI
- Challenges & Learnings: What didn't work and what we're changing
- Goals for Next Year: Specific, measurable commitments
Key principle: Transparency over polish. B Corp standards require honesty about progress AND challenges.
3. Partner / Supplier Communication
Types:
- Onboarding: Welcome, expectations, values alignment
- Performance update: Shared metrics, feedback, improvement areas
- Strategic alignment: Joint goals, market opportunities, collaboration
- Issue resolution: Clear problem statement, proposed solution, timeline
4. Materiality Assessment Communication
When communicating about material topics:
- What topics were identified as material and why
- How stakeholders were consulted
- What actions the company is taking
- How progress will be measured and reported
B Corp PSG Standards Integration
PSG1: Public Purpose
- Every stakeholder communication should reinforce the company's purpose
- Purpose statement should be visible, not just decorative
PSG2: Stakeholder Impact in Decision-Making
- Show how stakeholder input influenced decisions
- Reference specific consultation processes
PSG3: Grievance Procedures
- All stakeholder communications should reference how to raise concerns
- Include contact information for the grievance process
PSG4: Responsible Marketing
- All claims evidence-based
- No greenwashing or purpose-washing
- Transparent about limitations
PSG5: Governance Monitoring
- Report on how the governing body monitors social/environmental performance
- Share the governance structure's role in impact decisions
PSG6: Transparency
- Publish impact data publicly
- Be honest about challenges
- Share third-party verification where available
Double Materiality Framework
When assessing what to communicate:
- Impact materiality: Company's effects on economy, environment, people
- Financial materiality: Sustainability matters that affect company finances
- A topic is material if it's significant from EITHER perspective
Writing Principles
- Evidence over claims: Every statement backed by data or specific example
- Forward-looking: What are we doing, not just what we did
- Stakeholder perspective: Write from the reader's interest, not the company's
- Honest: If results are mixed, say so. Credibility > perfection.
- Accessible: No jargon without explanation. Board members aren't all specialists.
