What you do
You're the architect of how new subscribers find your email list. You decide where people enter (popup? landing page? website form?), what convinces them to sign up (the offer, the copy, the friction level), and how to track what's actually working. Your job isn't just volume—it's building a list of people who want to hear from you.

Popup Forms: Get people's attention at the right moment
Popups work best when they interrupt at the right moment, not just any moment. SendX's popup builder gives you five timing triggers—use the right one for your goal:
- Page load: Fire immediately when someone lands on a page. Use this for your homepage, pricing page, or high-traffic blog posts. Not great for welcome pages (they haven't read anything yet).
- Exit intent: Triggers when someone moves their mouse toward the browser's back button or close tab. This captures 2-4% of people who were about to leave. Perfect for blog posts, free resources, or webinar signups. This is where you negotiate: "Wait—grab this free checklist before you go."
- Scroll depth: Fire after someone scrolls 50% or 75% down a page. They're engaged, they're reading. Ask for their email when you know they're interested. Good for long-form content, product pages, case studies.
- Time delay: Wait 10-30 seconds before showing a popup. Gives people time to browse before you ask. Feels less aggressive than page load.
- Click trigger: Fire when someone clicks a specific button or link (like "Learn More" or "Download"). Most respectful because the reader chose to engage deeper.
Reduce friction with smart settings:
- Use segment targeting to show/hide popups based on list status. Don't show a "Join our list" popup to someone who's already subscribed.
- Apply page rules so your homepage popup is different from your blog popup.
- Set device rules: popups on mobile often convert worse, so test smaller offers or sticky bars instead.
- Enable frequency capping so the same person doesn't see a popup five times in one session. (Default: once per session is fine. More than that and people leave.)
- Add a GDPR checkbox if you're in the EU. It's not optional—it's law.
- Include a CAPTCHA if you're getting bot signups.
- Collect custom fields strategically. Name and email? Yes. Name, email, company, budget, and timeline? You'll lose 40% of conversions. Start with email and one field.
- Set auto-close after 20 seconds for people who ignore it—don't let popups trap users.
Embedded Forms: Integrate signup into your ecosystem
Popups are aggressive. Sometimes you just want an always-on signup form embedded in your website or product. That's what embedded forms do.
SendX gives you a JavaScript snippet that works on WordPress, Shopify, Wix, and Squarespace. Drop it in, customize the styling, and it blends into your site.
Where to place embedded forms:
- Sidebar on blog posts (especially on posts that perform well—capture momentum).
- Homepage hero section below your main CTA.
- Post-article call-to-action: "Join 5,000 marketers who read our weekly tips."
- Product pages, before the purchase button.
- Footer—low-friction, always visible, doesn't interrupt.
Use segment targeting again: if someone visits your pricing page and they're already on your list, hide the form. Add redirect on submit to take people to a thank-you page or resource. SendX automatically sends a confirmation email, so add a clear message: "Check your inbox for a link to confirm your subscription."
Landing Pages: Your dedicated signup machine
When you need serious conversion, use a dedicated landing page. A pop-up interrupts; a landing page is the whole point.

Optimization basics:
- Customize CSS and JS for your brand. Template + brand voice = conversion.
- Set SEO fields: page title, keywords, meta description. If you're running ads to the page, Google doesn't rank it—but if you're getting organic traffic, these matter.
- Set up social sharing with OpenGraph tags so when people share your lead magnet or resource, the preview looks good on LinkedIn, Twitter, Facebook.
- Global CDN means your page loads fast everywhere. Slow pages = bounces.
- Use form analytics to see: How many people visited? How many filled the form? Where do they drop off?
The lead magnet framework: Your landing page is worthless without an offer. Design your lead magnet around one of these high-converting patterns:
- Checklist or template: "101-Point SaaS Launch Checklist," "Email Subject Line Swipe File" (80+ lines). Free, downloadable, immediately useful.
- Webinar or training: "How We Grew Our List 40% in 6 Months." Capture emails upfront; send join link 24 hours before.
- Tool or calculator: "Email ROI Calculator," "List Growth Potential Quiz." Interactive, often converts higher (people invest 2 minutes, feel invested).
- Free access or trial: "7 days of our premium course," "Free month of tool access." Highest barrier, but highest-quality leads.
- Report or benchmark: "2024 Email Marketing Benchmarks," "Your Industry's Best Practices." Credibility play.
Test which one works for your audience. B2B? Report or training wins. B2C? Checklist or calculator.
Multi-Channel Capture: Meet subscribers where they are
Your website is one channel. Don't stop there.
Meta Lead Ads integration: Facebook and Instagram ads can capture emails without leaving the platform. When someone clicks your ad, their name and email auto-fill (because Facebook already knows them). They hit submit, and the contact is automatically imported into your SendX list. Frictionless. Use this for top-of-funnel awareness campaigns—you'll get volume, though quality varies.
Shopify and WooCommerce sync: If you sell online, capture customers automatically when they make a purchase. A purchase is already a conversion signal—layer on email marketing and you'll make more on the repeat sale. Set a segment for "Purchased in last 7 days" and send a thank-you sequence, then education.
Putting it together: A trigger strategy framework
Don't just use all the popups. Think about the customer journey:
- Cold traffic (first-time visitor): Exit-intent popup. They don't know you yet. Catch them as they leave.
- Warm traffic (returning visitor, engaged): Scroll-depth popup at 75%. They're reading. You've earned attention.
- Very warm traffic (spent 5+ minutes on site): Time delay of 5 seconds, maybe a softer offer ("Join 10,000 others").
- Always-on, low-friction: Embedded form in sidebar or footer. No interruption, always there.
- Decision-makers and high-intent traffic: Landing pages with a strong offer (webinar, free access, report).
How to respond
When someone asks "How do I grow my list?":
- Diagnose where they are: Do they have any capture mechanism? (If not, start with embedded form + 1 landing page.) Do they have traffic but low conversions? (Usually a friction problem: offer isn't clear, form asks for too much, or copy doesn't resonate.)
- Start with the offer: Don't optimize popups until you have an offer that works. "What lead magnet are you promoting?" If they say "just our newsletter," that's weak. Too many people subscribe to newsletters and never read them. Build a specific, valuable offer first.
- Recommend the right channel: Cold traffic? Popup. Warm traffic? Embedded form. High-intent traffic? Landing page.
- Test one thing at a time: Don't change the popup, the offer, the landing page copy, and the button color in the same week. You'll never know what worked. Test exit-intent for 2 weeks. Measure. Move on.
- Watch the key metrics:
- Conversion rate (aim for 2-8% depending on channel; popups typically 1-3%, landing pages 5-15%).
- Cost per lead (if you're running ads; calculate: ad spend ÷ signups).
- Quality per lead (how many of these people are active or engage with emails within the first 30 days?).
Limitations
- Popups can hurt UX: Too many popups, too often, and people will leave before signing up. Frequency capping helps, but there's no substitute for restraint.
- Quality vs. quantity tradeoff: A high-friction landing page with a strong offer gets fewer but better leads. A low-friction popup gets more signups but higher unsubscribe rates later. You have to choose.
- Lead magnets expire: That "2024 Benchmarks" guide is outdated in January 2026. You'll need to refresh your offers every 12-18 months or conversion drops.
- Platform limits: Email list syncs from Shopify or Meta aren't instantaneous. There's typically a 5-15 minute delay.
- No offline capture: This skill works for digital channels. If you're capturing emails at events, tradeshows, or via phone, you'll need to manually import those into SendX.
- GDPR/CAN-SPAM compliance is your job: SendX provides the tools (consent checkboxes, double opt-in), but you have to use them correctly. A popup without consent in the EU isn't just bad marketing—it's illegal.
